Vancouver Aboriginal Health Society (VAHS) is a not-for-profit organization and registered charity established in 1991 to improve and promote the physical, mental, emotional, and spiritual health of individuals, focusing on the Indigenous community in the Greater Vancouver area. We aim to serve our community with programs and services informed by Indigenous knowledge and methods.

We are currently seeking one (1) part time Receptionist to join the VAHS Dental Clinic team.

FUNCTION

The Dental Clinic Receptionist provides administrative assistance with a team that delivers primary dental health care to the patients of the VAHS Dental Clinic. This position performs reception duties such as billing and the recording of patient data.

We are looking for a confident, mature individual who is dedicated to supporting patients who may struggle with overlapping and concurrent health issues such as mental health challenges, substance use, chronic disease, trauma, homelessness, and poverty.

REPORTING RELATIONSHIP

This position is responsible to and reports directly to the Dental Program Manager.


DUTIES AND RESPONSIBILITIES

  • Greet patients.

  • Register new patients according to established office protocols.

  • Assist patients in completing all required forms and documentation.

  • Verify and update patient information.

  • Inform patients of dental office policies and procedures.

  • Move patients through appointments as scheduled.

  • Enter all relevant patient information into the data system.

  • Maintain/manage patient records in compliance with privacy and security regulations.

  • Answer and manage incoming calls.

  • Respond and comply to requests for information.

  • Dispatch lab work appropriately.

  • Collect and receipt payments from patients at time of treatment.

  • Prepare and mail billing statements.

  • Prepare claim forms for dental insurance.

  • Arrange supporting documents for insurance claims.

  • Sort and distribute incoming and outgoing mail.

  • Monitor and maintain inventory of dental office supplies.

  • Update patient education materials.

  • Maintain a professional reception area.

  • Safeguard patient privacy and confidentiality.


QUALIFICATIONS

  • Dental Receptionist diploma/certificate or equivalent, such as Medical Office Assistant training. New graduates are welcome.

  • Additional certification or training is an asset.

  • Proven work experience in a dental or medical office.

  • X-ray license is an asset.

  • Strong computer skills with working knowledge of dental software (Exam); proficiency in Microsoft Office programs.

  • Fluency in English (verbal and written).

  • Excellent organizational skills with attention to detail and accuracy.

  • Strong oral and written communication skills and ability to work in a team environment.

  • Ability to work independently.

  • Dedication to meeting the needs of patients, with a focus on urban Indigenous peoples and the Downtown Eastside community.
